Users and access
Users is under Site Features in the left-hand menu. It holds the CMS logins for your staff.
Only Admins can use this screen. If you can't see it, or can see it but can't change anything, your role isn't Admin. That's expected.
Adding someone
- Click Users in the left-hand menu.
- Click Create New.
- Enter their Name and email address.
- Choose a Role — see below.
- Tick Can access analytics if they need website traffic figures.
- Click Save.
Choosing a role

| Editor | Create, edit, publish and delete most content |
| Author | Create and edit most content, but not delete it |
| Viewer | Read-only for most content |
There is no approval step. Anyone who can edit can publish — including an Author, and there's no draft/review workflow to speak of outside Pages. If you're looking for a role that drafts content for someone else to approve before it goes live, there isn't one here.
Where "most content" doesn't mean all content
A handful of screens don't follow the role table above:
- Media ignores roles. Anyone signed in — any role, including Viewer — can upload, replace and delete files in the Media library.
- MLS Tools, and the homepage's A-/B-/C-Features and Promo, ignore roles too. Anyone signed in can add, change or delete entries on those four screens, regardless of role. See MLS Tools and Editing the homepage.
- Listings, Listing Media and Listing Sync Logs are Admin-only for changes — Editors and Authors can't touch them even though they can edit most other synced content.
- Agents, Offices, Committees and Committee Members can only be created or deleted by an Admin — Editors can update existing records but not add or remove one.
So "Viewer" is not as restrictive as it sounds on a few screens, and "Editor" is more restricted than it sounds on a few others. Give roles based on what someone actually needs to touch, not just the table above.
Analytics access
Can access analytics is a separate tick box on each user, independent of role — in principle it should control who sees the website traffic figures. As shipped, the Analytics screen itself doesn't check this box before showing figures to any signed-in user, so don't rely on it as an access control today; treat it as a label for now rather than a gate.
When someone leaves
Delete their user record, or their login keeps working. Do this the day they leave.
Changing someone's role
Edit their record, change Role, and save. It takes effect the next time they sign in.
If someone can't sign in
- Do they have a user record here? If not, that's the answer.
- Have they used Forgot password? That resolves most cases.
- Is their email exactly right? A typo means the reset email goes nowhere.
